BOOKKEEPER / OFFICE MANAGER
DESCRIPTION
The Bookkeeper/Office Manager position requires 15-25 hours per week in person at our downtown Santa Barbara office. This role provides end-to-end bookkeeping and office management for our small, design-focused practice. The ideal candidate will operate with a high degree of independence in managing day-to-day financial and administrative functions, while coordinating with firm leadership on cash flow, budgeting, and operational decisions.
REQUIREMENTS
5-8 yr. minimum post-graduate professional experience in bookkeeping and office administration at a small professional services or design firm.
Fully proficient in QuickBooks (desktop and online), Excel, and project-based billing workflows; able to independently manage full-cycle bookkeeping.
Demonstrated ability to own and manage financial processes with minimal supervision; knows when to escalate issues to leadership.
Comfortable preparing and explaining basic financial reports; understands cash flow management in a small business context.
Strong attention to detail with the ability to prioritize, meet deadlines, and maintain reliable systems without heavy oversight.
Professional and concise communication with clients and vendors, particularly around billing and collections.
Experience handling sensitive financial and personnel information.
CORE RESPONSIBILITIES
Maintain accurate financial records, including general ledger, A/P, A/R, and monthly reconciliations
Prepare and issue client invoices based on time and expense data; track and follow up on receivables
Coordinate payroll and manage routine tax and regulatory filings (e.g., 1099s, sales tax)
Produce monthly financial reports (P&L, cash flow summaries) for leadership review
Manage office operations: vendor coordination, supplies, insurance tracking, file systems, and basic HR
Support project setup and contract administration from an accounting perspective

DESIGNER
DESCRIPTION
The Designer position includes the preparation of schematic plans and construction documents to achieve detailed, complete and fully coordinated production drawings and presentation packages. Designers will provide support to all project team members; attend and participate in meetings; organize site visits and conduct site analysis; and collaborate with project team to produce beautiful graphics and compelling design solutions. Ideal candidates are creative, self-motivated, curious and eager to learn; and are comfortable working in a fast-paced environment.
REQUIREMENTS
2-4 yr. minimum post-graduate professional experience at a landscape architecture office.
Undergraduate or graduate degree in landscape architecture, architecture or related design fields.
Experience working on multiple projects simultaneously in a fast-paced environment.
Experience preparing landscape architectural drawings with graphic clarity using office standards: concept design, schematic design, design development, and construction documents.
Ability to prepare quick hand-drawn sketches that clearly convey design ideas.
Experience preparing digital graphics using Adobe InDesign as well as knowledge of graphic design conventions and standards.
Excellent written and verbal communication skills, including active listening and clear, concise verbal articulation and writing.
Strong creative problem solving and critical thinking skills.
Attention to detail and organization / effective time management skills.
Ability to thrive in a collaborative, supportive team environment.
Demonstrated proficiency in AutoCAD, LandFX, Adobe Creative Suite and 3D Modeling (SketchUp, Lumion, Revit or Rhino) software.
DESIRED SKILLS
Knowledge of local CA plants, including native and climate-adapted species.
Strong design intuition and creative talent.
